It is often necessary to send appointment confirmations and reminders to both parents of a child, especially in cases of joint custody.

Each parent may also need to complete an intake form or accept a waiver for their child's appointment.

In addition, this could be used in cases where a client may need to book an appointment for an elderly family member who is not as comfortable with technology.

To address these situations, it is possible to associate one or two parents with a child's file, as well as several dependents for another client.

This is where the Relationships feature can help.

To add a relationship to a client's profile, follow the steps below:

1. Click on Clients

2. Find and select the client in question

3. Click on Relationships

4. Click on + Add

A pop-up window will now appear, allowing you to choose the following :

5. An existing client from your client list by selecting them from the drop-down menu, or

6. A new client file, which you can create by clicking on the + symbol

7. & 8. Define the relationship between the two clients

9. Choose whether the selected client is a parent or caregiver and whether they should be registered as the primary contact for this client.

By checking the box for the parent or caregiver :

10. A number of additional options will appear, allowing you to define the client as the primary contact for the linked client and specify the permissions to be assigned to them.

  • Manage appointments and forms: Allows the client in question to book, change, or cancel an appointment for the linked client, as well as fill in any required forms on their behalf.

  • Receive communications: This enables the client to receive notifications, reminders, and any other communication relating to the linked client's appointments.

  • Receive receipts and invoices: Allows the client to receive insurance receipts and invoices, whether paid or to be paid, relating to the linked client's appointments.

11. If necessary, add notes relevant to the relationship between the two clients.

12. Save your changes by clicking the Save button

Please note that only one profile among the relationships associated with a dependent can be the primary contact.

To find out more about this feature, click on the following link, which will tell you how to Define the options for a parent or caregiver for a specific appointment
