How to Manage Service Requests

When a client fills out a service request, it appears in the Requests section of the left menu. From there, your team can review the request, then accept it and match it with a professional. You can also add one yourself, for example, after a phone call.


View requests

  1. Click Requests in the left menu. The number shown is how many requests need your attention.

  2. Make sure you're in the Services tab.

  3. Filter requests by status: New, Under review, Accepted, Matched, Waitlisted, Referred out, Urgent or All.

  4. Click a request to see all its details.

Good to know: Each request shows the client's reason for consultation, consultation mode, availability and preferred language at a glance. To see archived requests, check Show archives at the bottom of the page.


Match a request with a professional

  1. In Requests, click the request.

  2. Click Match a professional.

  3. Select the professional who will take on the client.

The request then moves to Matched. You can then send the client an invitation by email to book an appointment with the professional.


Add a request manually

  1. In Requests, Services tab, click Add request.

  2. Fill in the required information.

  3. Get the client's consent, then check the consent box.

  4. Click Create request.


Action buttons

Under each request, you'll find the following buttons:

  • Start review: shows that your team is reviewing the request. The request moves to Under review.

  • Accept: confirms that your clinic will take on the client. The request moves to Accepted.

  • Match a professional: pairs the client with the professional who best fits their needs. The request moves to Matched.

  • Waitlist: adds the client to the waitlist when no professional is available for now. The request moves to Waitlisted.

  • Flag urgent: marks a request as a priority. It then appears in the Urgent filter.

The ☰ menu

Click the ☰ icon, to the left of the buttons, to access the following options:

  • Edit request: correct or complete the information the client provided.

  • View client details: open the client's file in GOrendezvous.

  • Refer out: indicate that the client was directed to another resource. The request moves to Referred out.

  • Archive: remove the request from the list. To find it again, check Display archived at the bottom of the page.

  • View history: see every action taken on the request and when.
