To ensure that the AI tool can be used effectively, it is essential to work with an AI-compatible chart template. You can either use one already available in our library or convert one of your own charting templates into an AI model.
What is an AI-compatible template?
We’ve added fields that allow you to provide instructions to the AI, so the tool can automatically place the correct information into each of your note fields after recordings are processed.
Here are the different places where you can provide instructions to the AI:

*Please be aware that the AI can only add notes to text fields (Note).
The AI instruction within your note fields allows you to specify which information from the audio recording the AI should extract and write into that specific note field. You can write these instructions in your own words or use the AI tool to generate suggestions. For example, you may specify what the “Subjective” field should contain in a SOAP template.

This section allows you to provide general instructions for AI, which will be applied to the entire chart template and to all note fields. These instructions may include guidelines for text formatting (short and complete sentences, bullet points, etc.) or specify which abbreviations should be used in note-taking (e.g., right knee = RK).

This section allows you to provide instructions for the AI to assist with generating the verbatim transcript after the recording. The verbatim is the text transcription of the recorded conversation. Here, you may ask the AI, for example, to pay special attention to the client’s gender, to avoid mentioning the client’s name, or to use standard acronyms specific to your profession.
To prepare your templates, here’s how to proceed:
The AI can only be applied to text fields (Notes).
To simplify the setup process, we recommend using a template from the library marked with the AI icon.

Step 1 (Required): Add instructions to your Notes fields
1. Click on the tab with the name of your chart.
2. Click the Edit icon next to one of the Notes fields in your chart.
3. Click inside the AI Instructions box and add your instructions (for example, “This note should include relevant observations, comments, and information mentioned during the session,” etc.).
4. Click the checkmark to Save.
Step 2 (Optional): Add general instructions to guide AI transcription
Click on the Charting Template tab.
Click on the name of the template you wish to use with the AI.
Click on the Instructions for AI tab.
Add your instructions.
AI Instructions:
These general instructions will be applied to all Note fields in the chart. They may include, for example, text formatting preferences (e.g., Format my notes in two columns) or guidelines such as using the client’s first name (e.g., Include the client's first name in the notes).
AI Audio Transcription Instructions:
These instructions help guide the AI in generating the verbatim transcript from the recording with maximum accuracy, while respecting official terminology. For example:
Transcribe clinical notes where precise terminology is essential.
Systematically verify the spelling of medical terms in their context.
As mentioned, these instructions are optional, but they will help improve the accuracy of the results.
You can also use AI-generated suggestions by clicking 'Suggest.' The generated text will be based on the profession selected when creating the chart.
⚠️ Attention: By clicking “Suggest,” the AI’s new suggestion will overwrite the text already in the box and cannot be recovered.
You can further refine the suggestion by clicking Improve.
Once instructions have been added to your Notes fields, your template will be identified with the AI icon.
Select an AI template from the shared library.

1. Click on the Charting Template tab.
2. Click on the Library tab.
3. Select the language.
4. Search for a template or the desired field of practice.
5. Click on a template marked with the AI icon to preview its content.
6. If the template suits your needs, click + Add to my templates.
It will then appear in your list of chart templates:
Step 1 (Required): Click on the tab with your chart title to view the AI instructions in the text fields
You can manually refine the instructions or click Improve.

This step is optional, but it can improve the accuracy of the results.
1. Click on the chart template.
2. Click on the General AI Instructions tab.
3. Add AI instructions that provide general guidelines.
4. Add AI Audio Transcription Instructions.
