Audio Recording Methods for AI (3)

This guide explains, step by step, how to start an audio recording for a client and how to save/transcribe it in the client’s file.

Before you begin

  • Verify that your browser has permission to access the microphone (and that macOS/Windows has allowed the browser to use the microphone if needed).

  • Select the correct input device (microphone) if you have multiple devices.


Recording from the client’s file (recommended method)

1. Click on Charting

2. Select the relevant client’s file.

3. Select the specific file entry you want to record in

4. In the form, click Start Recording

5. An Audio Recorder window will open. You will see the client’s name, the date, and the name of the template.

6. Confirm Consent

Before recording, check the box stating that “the client agrees to have the conversation recorded and transformed into notes using AI.”

7. Select the Microphone

In the window, open the dropdown menu of available devices and select the microphone to use (e.g., MacBook Pro Microphone (Built-in)).

8. Click the Microphone icon to start the recording

9. While recording, you will see the timer and a progress bar; Pause and Stop buttons are available to control the recording.

10. Click Stop to end the recording.

Recording from the appointment in the schedule

1. Click on the Appointment

2. Click on the Microphone icon

If you don't see the microphone icon, there are two potential explanations :

  1. AI is not yet activated in your account. Please contact us at [email protected] to know more.

  2. The appointment is virtual. It is not possible to start a recording from a virtual appointment. You can still use AI for virtual appointments, you just need to start the recording from the client's file.

3. An Audio Recorder window will open. You will see the client’s name.

4. Confirm Consent

Before recording, check the box stating that “the client agrees to have the conversation recorded and transformed into notes using AI.”

5. Select the Microphone

In the window, open the dropdown menu of available devices and select the microphone to use (e.g., MacBook Pro Microphone (Built-in)).

6. Click the Microphone to start the recording

7. While recording, you will see the timer and a progress bar; Pause and Stop buttons are available

8. Click Stop to end the recording

9. Select the Charting template to use to convert the audio into notes

10. You have the option to save the audio file on your device by clicking Save on this device

11. Click on Create notes from Audio

Upload an existing audio recording to the client’s file

1. Click on Charting

2. Open the Client’s chart where you want to add the audio file

3. Click on the Recording section

4. Click on "+" to add an audio file

5. A window titled “Add audio file” will open

6. Click on + Choose an audio file to upload
A file selection window will appear

7. Select the Employee who is adding the file

8. Choose the Charting template to use

9. Confirm the Client’s Consent
Check the box stating:
“The client agrees that the conversation may be recorded and that the audio may be transformed into notes using AI.”

10. Click on Add

Importing an audio file automatically creates a new file entry. The entry will contain the AI notes generated from the imported audio file.

There is currently no way of importing an external audio file into an existing file entry.
