AI Instructions: Tips & Tricks for Better Results

You can use our AI features to optimize your notes and make them more concise! This help article includes tips and tricks to do so. 😉

To generate more concise notes, you can add general instructions. These instructions will apply to the entire template.

Alternatively, you can add field-specific instructions if you want to shorten the notes generated for a particular field.


Add general instructions

Here is an example of a general structure instruction to set up, which will apply to all fields

Example instructions to add:

  • Use short sentences, with a maximum of 15 words per sentence

  • Use professional terms without excessive jargon

  • Telegraphic style is acceptable

  • Keep paragraphs short and well-spaced

Use of abbreviations

Example instructions to add:

  • Consistently use: ADL (activities of daily living), Sx (symptoms), Dx (diagnosis), Hx (history), and A&O (alert and oriented)

  • Use the symbols + for increase/improvement, - for decrease/deterioration, and ABS for N/NEG


Instructions for a specific field

Limit the length of the notes and encourage shorter, more concise entries:

Example instructions to add:

Notes generated for these fields should have a maximum length of 100 words

Specify a strict structure and writing style

Example instructions to add:

  • List the information in a maximum of 5 points

  • Each point should be fewer than 8 words

  • Write everything in the past tense, and each point should begin with a verb

I want notes where the client’s pronouns are respected

Example instructions to add:

  • Pay close attention to the gender of the people mentioned: never assume the client’s gender by default

  • Carefully consider cues such as first names, agreements, and pronouns used by the speakers

  • Correctly match all adjectives and past participles to the identified gender, and when in doubt, favor inclusive or neutral wording rather than making assumptions


I want my notes to use the client’s first name instead of saying “the client” all the time

Ensure the client’s first name is used in the notes. The words “the client” should NEVER appear in the notes


I want my notes to anonymize the names of any third parties mentioned

Example instructions to add:

  • Ensure that the first and last names of any people mentioned (other than the client) are anonymized in the notes

  • Third parties should always be referred to by their relationship to the client (e.g., “the client’s mother” instead of “Bianca”)

  • If the relationship is not specified, use the first initial of the person’s first name (e.g., “B.” instead of “Bianca”)


I want the AI to stop suggesting treatments or adding its own recommendations

Example instructions to add:

  • CRUCIAL DIRECTIVE: Base the notes EXCLUSIVELY on the content of the transcription

  • Do NOT add, infer, or suggest any evaluation, recommendation, or observation that was not explicitly stated during the session


I want the AI to write something specific if a section of the notes was not discussed

Example instructions to add:

If a section of the notes was not discussed, write the section name followed by a dash and these exact words: “Not addressed during the session.”


I want the AI to provide a summary of the session in one of the fields

Create a concise summary in the form of a list of items. The goal is to allow for a quick reading of the consultation and the actions to follow. Use a maximum of 5–7 items in a telegraphic style, with two line breaks between each item.

Recommended structure:

First item: Main reason for the session and diagnosis in one sentence

Middle items: Condensed description of the treatment administered, complementary techniques if relevant, and the client’s reactions

Last item: Next steps and follow-up


I want to insert the client’s first name at a specific place in the notes.

The tag [Clients] will be replaced with the first name of the client. For appointments for two clients, both first names will be included, separated by a comma.

Example instructions to add:

  • The first sentence in this field should be:

    ”[Clients] agree that this session may be recorded and that AI may be used to generate certain clinical notes"


The AI does not spell the client’s name correctly in the notes

Example instructions to add:

  • The client’s name must be spelled exactly as: [Clients]
